Custom Tote Bags: The Complete Buyer's Guide

Everything a buyer needs to spec a custom printed tote bag — material, weight, printing method, minimum order, sampling and lead time. Written by a Wenzhou-based bag exporter, in plain numbers.

Start with the job, not the fabric

The bag has to survive a specific journey. A conference giveaway carried for one morning is a different animal from a retail tote that a customer uses for two years. Before anything else, answer three questions:

  • Who carries it, and for how long? One-off event, or daily reuse?
  • What weight goes inside? A laptop and a bottle need a reinforced base and wider handles.
  • Does it need to sit on a shelf? Retail packaging and hang tags change the spec.

These three answers decide the fabric, the weight, the handle and the price. Skipping them is how buyers end up with a beautiful bag that tears at the handle seam in week two.

Fabric: what each one is actually for

MatériauTypical weightsBest forWatch out for
Cotton / canvas8 oz, 10 oz, 12 oz, 14 ozRetail, brand merchandise, long reuseShrinks if not pre-shrunk; heavier = more expensive
Non-woven (PP)80 g, 100 g, 120 gEvents, volume giveaways, low unit costFeels thinner; laminated version looks more premium
RPET (recycled PET)Specify GSM and woven/non-woven constructionProjects requiring documented recycled contentVerify the recycled proportion and documents for the actual product
Tissé en PP60–120 gHeavy loads, grocery, promotional totesCoarser surface; BOPP lamination for full-colour print
Jute—Natural / eco positioning, premium retailHeavier to ship; print detail is coarser

Confirm the actual load: fabric weight does not prove carrying capacity. Agree the contents, seams, handle reinforcement and load-test conditions, then check the finished sample.

Printing: choose by artwork, not by price

MethodBest forCouleurs
Screen printBold logos, solid colour, large runs1–6 spot colours
Heat transferDetailed or photographic artworkFull colour
Digital printSmall runs, many versions, short deadlinesFull colour
EmbroideryPremium cotton / canvas, textured logoLimited thread colours
SublimationAll-over print on polyester / RPETFull colour, edge to edge

Compare printing routes on the actual fabric, colour, quantity and artwork. Screen printing can reproduce fine detail or halftones with a suitable setup; transfer and digital routes are alternatives to sample, not an automatic quality ranking. Chinese printing guide.

Minimum order and lead time: the numbers

Minimums are set by the printing setup, not by the sewing. Typical starting points:

  • Non-woven, one-colour print: from around 1,000 pieces
  • Cotton / canvas tote: from around 500–1,000 pieces depending on weight
  • Multi-colour or all-over print: higher, because of setup

Our own minimum is lower than those industry numbers: from 50 pieces per style and print — enough to test a design in the market before committing to a large run.

Time is usually quoted as sample plus bulk:

  • Sample: 3–5 working days to make it, roughly 7–14 days including shipping to you
  • Bulk production: roughly 20–35 days after sample approval, depending on quantity and print — ours run about 15 working days, with shipping on top
  • Shipping: air express in days; sea freight in weeks

Always approve a physical sample first. A photo is not a sample. Colour, feel, handle length and stitch quality are all things you can only judge in your hand — and the cost of a sample is a rounding error against the cost of 5,000 bags you don't like.

What to ask every supplier

  1. Which material and weight do you recommend for this use, and why?
  2. What is the MOQ for this artwork — and does it change with colour count?
  3. Is the price FOB or delivered, and what port?
  4. What is the sample lead time and bulk lead time, in working days?
  5. Are you a factory or a trading company? (Both are legitimate — you just need to know who you are dealing with.)
  6. What documentation can you provide — test reports, material statements, packaging specs?

Frequently asked questions

What is the minimum order for custom printed tote bags?

Industry-wide it depends on the material and printing method: non-woven with a one-colour print commonly starts around 1,000 pieces, cotton and canvas around 500–1,000, and multi-colour or all-over print pushes it higher because of setup cost. For a trial, our own minimum is from 50 pieces per style and print.

How do I pay for an order, and can I pay on your website?

Orders are paid by bank transfer (T/T) against a proforma invoice. The invoice is issued with your order confirmation and carries our company account details, so there is nothing to enter on our website. Quotations, invoices and shipping documents all come to you directly by email from the person handling your order.

How long does a custom bag order take?

Plan for 3–5 working days to make the sample, so roughly 7–14 days including shipping, then about 15 working days of bulk production after you approve it (the market range runs 20–35 days depending on the shop), plus shipping time. Sea freight adds weeks; air express is days but costs more.

Should I choose cotton or non-woven?

Compare fibre content, fabric structure, finish and intended reuse. Canvas describes a construction; non-woven describes a fabric structure; RPET describes recycled polyester content and can be woven or non-woven. Confirm the finished sample and supporting material documents.

Can I get a sample before placing a bulk order?

Yes. A physical sample is the only reliable way to check colour, weight, handle length and stitching. Approve the real thing before the bulk run.
