Custom Tote Bags: The Complete Buyer's Guide
Everything a buyer needs to spec a custom printed tote bag — material, weight, printing method, minimum order, sampling and lead time. Written by a Wenzhou-based bag supplier, in plain numbers.
Start with the job, not the fabric
The bag has to survive a specific journey. A conference giveaway carried for one morning is a different animal from a retail tote that a customer uses for two years. Before anything else, answer three questions:
- Who carries it, and for how long? One-off event, or daily reuse?
- What weight goes inside? A laptop and a bottle need a reinforced base and wider handles.
- Does it need to sit on a shelf? Retail packaging and hang tags change the spec.
These three answers decide the fabric, the weight, the handle and the price. Skipping them is how buyers end up with a beautiful bag that tears at the handle seam in week two.
Fabric: what each one is actually for
| Material | Typical weights | Best for | Watch out for |
|---|---|---|---|
| Cotton / canvas | 8 oz, 10 oz, 12 oz, 14 oz | Retail, brand merchandise, long reuse | Shrinks if not pre-shrunk; heavier = more expensive |
| Non-woven (PP) | 80 g, 100 g, 120 g | Events, volume giveaways, low unit cost | Feels thinner; laminated version looks more premium |
| RPET (recycled PET) | similar to non-woven | Brands with a sustainability story to tell | Costs more; ask for the recycled-content documentation |
| PP woven | 60–120 g | Heavy loads, grocery, promotional totes | Coarser surface; BOPP lamination for full-colour print |
| Jute | — | Natural / eco positioning, premium retail | Heavier to ship; print detail is coarser |
Rule of thumb: if the bag carries more than about 5 kg regularly, move up a weight class and specify a reinforced base and cross-stitched handles. The unit cost difference is small; the failure rate difference is not.
Printing: choose by artwork, not by price
| Method | Best for | Colours |
|---|---|---|
| Screen print | Bold logos, solid colour, large runs | 1–6 spot colours |
| Heat transfer | Detailed or photographic artwork | Full colour |
| Digital print | Small runs, many versions, short deadlines | Full colour |
| Embroidery | Premium cotton / canvas, textured logo | Limited thread colours |
| Sublimation | All-over print on polyester / RPET | Full colour, edge to edge |
Two practical notes. First, a one-colour screen print is almost always the cheapest per unit at volume — but it needs a clean, single-colour logo. Second, if your artwork has gradients or small type, screen printing will disappoint you; use transfer or digital instead.
Minimum order and lead time: the numbers
Minimums are set by the printing setup, not by the sewing. Typical starting points:
- Non-woven, one-colour print: from around 1,000 pieces
- Cotton / canvas tote: from around 500–1,000 pieces depending on weight
- Multi-colour or all-over print: higher, because of setup
Time is usually quoted as sample plus bulk:
- Sample: roughly 7–14 days including shipping to you
- Bulk production: roughly 20–35 days after sample approval, depending on quantity and print
- Shipping: air express in days; sea freight in weeks
Always approve a physical sample first. A photo is not a sample. Colour, feel, handle length and stitch quality are all things you can only judge in your hand — and the cost of a sample is a rounding error against the cost of 5,000 bags you don't like.
What to ask every supplier
- Which material and weight do you recommend for this use, and why?
- What is the MOQ for this artwork — and does it change with colour count?
- Is the price FOB or delivered, and what port?
- What is the sample lead time and bulk lead time, in working days?
- Are you a factory or a trading company? (Both are legitimate — you just need to know who you are dealing with.)
- What documentation can you provide — test reports, material statements, packaging specs?
Frequently asked questions
What is the minimum order for custom printed tote bags?
It depends on the material and printing method. Non-woven bags with a one-colour print commonly start around 1,000 pieces; cotton and canvas totes around 500–1,000 pieces. Multi-colour or all-over print pushes the minimum up because of setup cost.
How long does a custom bag order take?
Plan for 7–14 days for a sample including shipping, then roughly 20–35 days of bulk production after you approve it, plus shipping time. Sea freight adds weeks; air express is days but costs more.
Should I choose cotton or non-woven?
Cotton or canvas when the bag is meant to be kept, reused and carry your brand for years. Non-woven when you need large volumes at low unit cost for an event or campaign. RPET sits between the two and suits brands with a recycled-content story.
Can I get a sample before placing a bulk order?
Yes. A physical sample is the only reliable way to check colour, weight, handle length and stitching. Approve the real thing before the bulk run.
